In South Africa’s business environment the right type of accounting and operational system is crucial, similar to a website: it is simply not optional any more. If a business does not have the right type of systems in place to retain and manage customers, then given the pace and tough environmental influences, it is just a matter of time before they will be looking for such a system or very possibly be out of business. There are many type of business systems available to the South African market, they differ from small R400 systems to $200M SAP implementations. Now this article is not intended for our customers who are looking to buy a R400 system because there is not much more we can offer you except a CD, an installation manual and free door-to-door delivery. However, if you are in the process of making a major decision to potentially purchase a particular accounting or ERP* system, this article will hopefully help you identify a number of factors that will demystify some uncertainty. The market is unfortunately stained by stories of IT and ERP projects gone wrong. Government institutions such as the Department of Transport had many issues with ERP software developers Tasima (Pty) Ltd who was responsible for the eNaTIS system. Many other projects and providers simply failed to follow through to project completion and user acceptance. In some extreme cases, these companies sue because they couldn't deliver their products, or their complete business shut down because the software did not work correctly.
Many assume success or failure is the fault of the software they purchase, but in reality, 95% of a project's success or failure is in the hands of the company implementing the software, not the software product. Therefore, there are a number of factors that should be addressed to make your project successful, beginning with an effective software selection process and continuing through to implementation and eventual support and maintenance. New business systems involve big change for people, and the system will not do you any good if people do not understand how to use it effectively. Therefore, spending time on money on training, change management, job design, etc. is crucial to any system implementation project. It's easy to see that many big companies are running SAP or Oracle, but it's harder to consider that maybe you don't need a SAP system at all. Perhaps process improvement, organizational redesign, a specialised system like Omni, Pastel or targeted best-of-breed technology will meet your business objectives at a lower cost. By clearly understanding your business objectives and what you're trying to accomplish with the new system, you will be able to make a more appropriate decision on which route to take.
